Closes #251. Part of #197.

What

  • The Users screens open only to accounts with manage_users. Anyone else who opens /users is sent home, and the menu shows "API tokens" in the Users slot for them, which opens their own tokens page.
  • Each account on the users list carries withinReach, true when the reader holds manage_users and its role reaches that account. The row menu offers Change role and Disable only when it is true, and Enable only when the reader may also give the account's role.
  • After a role change refused with role_changed, the list reloads to show the role the account holds now.
  • The New user form has a Role field. It starts at member, or at the narrowest role the reader may give.
  • Plugin routes can name the capability a reader needs, checked with react-auth's can.
  • The plugin guide, the GraphQL reference and the self-hosting pages describe all of this.

Why

A member could open the Users screen and see actions the server would refuse. Every new account started as a member, with no way to pick another role at invite time.

Testing Instructions

  1. GOWORK=off go test -race ./..., pnpm cover and make e2e: everything passes.
  2. Sign in as a member: the menu shows API tokens and no Users entry, and /users sends you to the tasks page.
  3. Sign in as an admin: the row menu shows no Change role or Disable on an account holding a role above yours, and the New user form starts at Member.

Summary by CodeRabbit

  • New Features
    • API tokens appear as a standalone page and navigation option when Users is unavailable.
    • User-management actions are limited to accounts within the manager’s reach; enabling an account also requires a grantable role.
    • Invitations let managers choose from grantable roles, with a default selected.
    • User records indicate whether each account is within the signed-in manager’s reach.
  • Documentation
    • Updated guidance on API-token navigation, route permissions, role reach, and administrator setup.
  • Localization
    • Added a Spanish label for API tokens.

📝 Walkthrough

The change adds capability-based access for Users routes and navigation, exposes per-account reachability in the users GraphQL result, and uses reachability and grantable roles to control user actions. The invitation and role-change forms use a shared role selector.

Changes: User access and role management

Layer / File(s) Summary
Capability-gated routes and navigation
sdk/frontend/*, frontend/src/CapabilityGate.tsx, frontend/src/router.tsx, frontend/src/menu/*, frontend/src/users/UsersScreen.tsx, frontend/src/users/TokensScreen.tsx, frontend/src/test/*, frontend/src/menu/test/*, test/e2e/tests/users-member.spec.ts, frontend/src/languages/es-ES.json, languages/*, docs/src/content/docs/extending/screens.md, docs/src/content/docs/self-hosting/commands.md
Users routes declare MANAGE_USERS and use CapabilityGate. The main menu filters items by capability and route metadata, and substitutes API tokens for Users when Users is unreachable. The API tokens page omits the Users tabs when the reader cannot open Users.
User reachability and actions
graph/schema*, graph/generated.go, graph/model/models_gen.go, internal/graphres/*, frontend/src/auth/*, frontend/src/gql/*, frontend/src/users/userActions.tsx, frontend/src/test/users-route.test.tsx, frontend/src/test/users-invited.test.tsx, frontend/src/test/users-medium.test.tsx, frontend/src/test/users-role-modal.test.tsx, frontend/src/test/invite-transport.test.ts, test/e2e/tests/users-member.spec.ts, docs/src/content/docs/reference/graphql-api.md
The GraphQL User type adds withinReach. The users resolver sets the field from the caller’s manage_users capability and role reach, and the frontend requests and preserves it. User actions depend on the target account’s reach; enabling also depends on whether the target role is grantable.
Grantable role selection
frontend/src/users/NewUserScreen.tsx, frontend/src/users/RoleSelect.tsx, frontend/src/users/roles.ts, frontend/src/users/UserModals.tsx, frontend/src/users/userFields.tsx, frontend/src/test/users-new-role.test.tsx, docs/src/content/docs/self-hosting/install.md
The new-user form selects and submits a role from the session’s grantable roles. The role-change modal uses the shared RoleSelect component, and role labels are provided by shared helpers.

Explanation

The reviewed head meets the coding requirements in [#251]. internal/role declares the core roles and capabilities through goncierge.Registry. The resolver uses the registry for grant checks, capability data, reach checks, and role-change or disable writes. The write path passes the held role to authkit, which supports role_changed protection and the declared-role enable rule. The frontend uses session capabilities for Users access, row actions, role selection, and plugin route gates. Tests cover these behaviors.

Full details: Out of Scope Changes check

Explanation

The changes stay within [#251]. Navigation guards, API-token replacement, withinReach, role selection, mutation refresh behavior, route capability metadata, tests, translations, and documentation implement or support the required capability and role behavior. The route and fixture changes support that implementation. No demonstrated change lacks a connection to [#251].

[Medium impact] No outstanding findings block merging the reviewed changes.

Summary

The PR limits the Users screens and account actions by capability and role reach. It also adds a role choice when inviting users.

Since the previous review:

  • Readers without user-management access find API tokens where Users would be.
  • Managers see account actions only when the account is within their reach.
  • Managers can choose an allowed role when inviting a new account.

No new issues require attention. The reviewed changes are safe to merge.

Code Review ✅ Approved

🔴 High risk · Capability gates now control Users routes and role actions; incorrect checks could expose account-management screens or hide permitted actions.

Gates the users screens behind the manage_users capability, sends other readers to their API tokens page, and limits row actions to accounts within the reader's reach. No issues found.
